Job Summary:
We are seeking a proactive, highly organized, and tech-savvy Executive Assistant to support our Co-Founder. You will serve as a trusted right hand, ensuring seamless operations and communication across a fast-moving, remote-first, and globally diverse team.
The ideal candidate will have hands-on experience in fast-paced, professional environments, regularly attending leadership meetings, preparing high-quality presentations, and managing complex travel and scheduling logistics. They should be technically proficient, detail-oriented, and capable of handling multiple high-priority tasks with discretion and professionalism.
Key Responsibilities:
- Accompany the Co-Founder to meetings, capture detailed minutes, and ensure timely follow-ups on action items.
- Prepare high-quality, visually appealing PowerPoint presentations and reports with minimal supervision.
- Manage extensive travel arrangements, including flight bookings, visas, hotel accommodations, and detailed travel itineraries.
- Oversee the Co-Founder’s calendar, schedule meetings, and coordinate appointments across time zones.
- Act as a liaison between the Co-Founder and internal/external stakeholders, maintaining a high level of professionalism at all times.
- Conduct research, compile data, and prepare background materials for meetings and decision-making.
- Manage confidential information with integrity and sound judgment.
- Implement and leverage technology tools to streamline workflows and communication.
What We’re Looking For:
- Proven experience of 10 plus years as an Executive Assistant supporting C-level executives or founders.
- Must have experience as an Executive Assistant in an enterprise software company, supporting a Revenue or Sales & Marketing leader.
- Proven experience working remotely and coordinating meetings and deliverables across multiple time zones.
- Experience working in a fast-paced corporate or a global company.
- Strong expertise in creating professional presentations (PowerPoint) with high attention to detail.
- Hands-on experience in managing travel, including visas, tickets, hotel bookings, and endto-end itinerary planning
- Advanced proficiency in Microsoft Office Suite (especially PowerPoint, Word, Excel), and collaboration tools such as Microsoft Teams.
- Familiar with LinkedIn and a range of tools, including HubSpot, Avoma, Ringover, Waalaxy, and SalesIQ.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to work independently, anticipate needs, and adapt quickly to changing priorities.
- High degree of discretion dealing with confidential and sensitive information.
Hours & Location:
- Remote role (work from home).
- Working hours: 6:00 – 18:00 SAST (weekdays).
